Template notice. This policy is a clear, good-faith starting point written for a Texas-based managed services provider. It is not legal advice — please have it reviewed by qualified counsel and tailored to your actual data practices before publishing.
Root Managed Services (“Root,” “we,” “us”) respects your privacy. This policy explains what information we collect through this website and in the course of delivering services, why we collect it, and the choices you have.
1. Scope & who we are
Root Managed Services is a managed IT, cybersecurity, and infrastructure services provider based in the Dallas–Fort Worth metroplex and serving businesses across Texas. This policy applies to rootmanagedservices.com and to the personal information we handle as a business when responding to inquiries and administering client relationships.
When we manage technology on behalf of a client, we typically act as a service provider (processor) handling data under that client’s direction and our service agreement. In those cases, the client’s own privacy policy governs how that data is used, and this policy governs only our own business and website data.
2. Information we collect
We aim to collect only what we need. Depending on how you interact with us, that may include:
| Category | Examples |
|---|---|
Contact details | Name, business email, company name, and anything you include in a message |
Inquiry content | The description of your environment or request you send us |
Technical data | IP address, browser type, device, and pages viewed (via standard server logs) |
Client records | Account, asset, and ticket information needed to deliver contracted services |
Our consultation form opens your own email client with the details pre-filled — your message is sent from your inbox to ours, not collected by a third-party form processor on this site.
3. How we use information
- To respond to inquiries and provide quotes, consultations, and support
- To deliver, maintain, and improve the services in your agreement
- To send service-related communications, advisories, and maintenance notices
- To secure our systems and investigate misuse or security incidents
- To meet legal, tax, and regulatory obligations
We do not sell your personal information, and we do not use client data to train third-party AI models.
4. Cookies & analytics
This site is intentionally lightweight. We use a small amount of browser storage only to remember interface preferences. If we add analytics in the future, we will use privacy-respecting, aggregate measurement and will update this section to name the provider and describe your choices. Standard web-server logs may retain IP addresses and request metadata for security and troubleshooting.
5. How we share information
We share information only as needed to run our business and deliver services:
- Vendors and subprocessors — software and infrastructure providers (for example, email, backup, monitoring, and security tooling) that process data on our behalf under contract.
- Legal and safety — when required by law, subpoena, or to protect rights, property, and safety.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this policy.
We require our vendors to protect data and to use it only for the services they provide to us.
6. Data retention
We keep information for as long as needed to fulfill the purposes described here, to meet legal and contractual obligations, and to resolve disputes. Client data handled under a service agreement is retained and disposed of according to that agreement. When information is no longer needed, we delete or de-identify it.
7. How we protect data
Security is our profession, and we apply it to ourselves. Safeguards include multi-factor authentication, endpoint detection and response, least-privilege access, encryption in transit and at rest where appropriate, and tested, immutable backups. No method of transmission or storage is perfectly secure, but we work continuously to protect the information in our care.
8. Your privacy rights
Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information, and to object to certain processing. Texas residents have rights under the Texas Data Privacy and Security Act (TDPSA), including the right to confirm, access, correct, delete, and opt out of targeted advertising or the sale of personal data.
To exercise any right, email [email protected]. We will verify your request and respond within the timeframe required by applicable law. You may appeal a decision by replying to our response.
9. Children’s privacy
Our services and this site are intended for businesses and are not directed to children under 13. We do not knowingly collect personal information from children.
10. Changes to this policy
We may update this policy as our practices or the law change. We will revise the “Last updated” date above and, for material changes, provide a more prominent notice.
